ctxmail · business mail by Caultex

Keep Outlook. Lose the Exchange server.

ctxmail is a mail service for businesses that grew up on Exchange. Your team stays in Outlook and on their phones, with the same addresses and the same shared calendars. What changes is underneath: a platform we designed, run and look after ourselves, on hardware we own in the UK. Caultex has used it for its own mail since spring 2026.

  • Native Outlook connection
  • Your domain, your addresses
  • Switched over in one working day
For your team

Nothing new to learn on Monday morning.

The move happens on our side. The people who use the mail mostly notice that it still works.

Opens in the Outlook you have

No add-in to install and no new app to learn. Desktop Outlook talks to ctxmail directly, and folders, rules, categories and shared calendars are waiting when it opens.

Same setup on every phone

iPhones and Android phones add ctxmail as an Exchange-type account, the way most people already have their work mail, so mail, contacts and calendar keep syncing.

Customers see no change

Mail goes to and from your own domain, distribution lists included. If anyone notices a difference, it is usually that there is less junk.

Behind the scenes

What you get that an old Exchange server never gave you.

Junk filtering trained on your inbox

Once an hour the filter studies what your people flag as junk and which messages they answer. It sharpens the longer you use it, and we keep tuning it instead of leaving it on factory settings.

A single password

Webmail, shared files, calendars and the password vault sit behind one sign-on. A password change happens once, not four times.

Mail that stays on our hardware

Mailboxes live on servers we own, with three separate backups. SPF, DKIM and DMARC are configured properly, and ctxmail scores 9 out of 10 on the standard deliverability test.

When something goes wrong

Recovery is a procedure, not a panic.

We wrote our own tools for running ctxmail, so the jobs that used to mean a long night are routine.

A patched server, same settings

When a serious security hole is announced, we stand up a clean, fully updated mail server and move you onto it within minutes. Addresses and settings carry straight across.

Get back what was deleted

Anything from a whole mailbox down to a few messages, a calendar or a contact list. Restores land in a folder of their own, so nothing current gets overwritten.

Change site without the fuss

We can move your company's mail to another of our sites. We prepare the DNS changes for your provider and check them before anything switches.

  • Risky operations need approval from a named engineer's locked machine, and every one is logged.
  • Copies made for a restore are encrypted, then wiped once the job is done.
  • Updates are tried on a separate server before they go near live mail.
Switching

The switch itself takes one working day.

The heavy lifting happens beforehand: mailboxes are copied across in the background while you keep using your current system. On the day, we change your mail records and new messages start arriving on ctxmail within minutes. Then we compare item counts for every mailbox and sign them off together.

One aviation customer's nine mailboxes, the biggest holding more than 100,000 items, switched at 11:05 and were fully checked by 13:10.

  1. SurveyWe list what you have: mailboxes, distribution lists, shared calendars and the phones that connect to them.
  2. CopySeveral days of background copying while your team works as normal.
  3. Cut overAt a time we agree, your domain's mail records are repointed and Outlook and phones are reconnected, normally without a site visit.
  4. Sign offItem counts are checked and agreed for each mailbox. The old server stays on for an agreed period before it is switched off.
Questions

Common questions

Is ctxmail the same thing as Microsoft 365?

No. ctxmail is our own platform on our own servers, with no Microsoft cloud involved. Outlook connects to it the way it connected to Exchange, so for your team it feels the same.

Do we keep our email addresses?

Yes. Your domain, every address on it and your distribution lists all stay as they are.

Where is our mail kept?

In the UK, in our own data centre in the Thames Valley, on servers Caultex owns and manages, with three separate backups.

Can ctxmail run on our own servers instead?

Yes. ctxmail can run in our cloud or on hardware you own.

Will we lose work during the move?

No. You keep using your current system while mailboxes copy in the background, and the switch is made at a quiet time you choose. Item counts are reconciled afterwards so nothing goes missing unnoticed.
